Adding gift cards are simple enough — but how do you refund these things? Not to worry! We're here to guide you through the process. In this article, you will learn how to refund a single gift card and orders with multiple gift cards.
Refunding a Single Gift Card
Step 1: Click Manage Orders.
Step 2: Click on the desired order ID to view order.
Step 3: Click Edit.
Step 4: Click on the Products tab.
Step 5: Select the Remove checkbox next to the products that need to be removed.
Note: Products can also be removed by changing the quantity to zero.
Step 6: Click Update once all changes are made. A negative amount will appear for the Total Due.
Step 7: Click on the Charges & Refunds tab. A dollar amount will be in the New credit card refund box.
Step 8: Click the Refund method and select a gift card from the dropdown.
Pro Tip: If more than one payment method was used, both will show up in this dropdown.
Note: The Cash payment method should only be selected if the customer is being reimbursed outside of the software.
Step 9: Click Submit Refund. A success message will appear.
Step 10: Click OK.
Refunding When Multiple Gift Cards are on an Order
A gift card can only be refunded up to the full original balance amount. There will be a "Warning!" message at the top of the order overview if the amount needing to be refunded is more than what can be applied to just one gift card. This indicates the remaining refund amount will need to be put on the next form of payment. Each gift card will need to be refunded individually. Follow the previous steps to refund the first gift card, then follow these steps for the second:
Step 1: Click Edit.
Step 2: Click on the Charges & Refunds tab. The remaining refund amount will be in the New credit card refund section.
Step 3: Select the other refund method from the Refund method dropdown.
Step 4: Click Submit Refund.
Note: A gift card can only be refunded up to the full original balance amount.
Going back to the store's Gift Card tab will show that the gift card balances have automatically adjusted to reflect the refunded amounts!
